1. Data Controller

The Data Controller is Mhodì S.r.l.s, with registered office at Via Francesco Cilea 105, 95131 Catania (CT), Italy, VAT IT05083480870, REA Catania 341888 (hereinafter “Mhodì”, “we” or “the Controller”).

2. Data collected

Data provided voluntarily

Through the forms on the site we collect the following data, depending on the section used:

• General contact: first name, last name, email, subject, message
• Scouting (demo submission): artist/band name, first name, last name, city, phone, email, social profile, music genre, demo link, message
• Sync & Licensing: first name, last name, email, company, country, website, project type, budget, deadline, brief
• Sub-publishing: first name, last name, email, company, country, catalogue, message
• Press: first name, last name, email, media type, outlet, website, social, language, territory, genres of interest, publication frequency
• Careers: first name, last name, email, phone, city, work experience, CV (file), message

Together with the data entered in the forms, we technically record the brand of origin of the request (e.g. Anaglyphos Records, Mhodì Records, d00b, Comusì), derived from the URL parameter of the visit origin. This data does not directly identify the data subject, but allows the Mhodì team to properly route the request to the relevant label.

Data collected automatically

The IT systems and software procedures used to operate this site acquire, in the course of their normal operation, certain data whose transmission is implicit in the use of Internet communication protocols:

• IP address
• Browser type and operating system
• Date and time of visit
• Pages visited and time spent
• Referrer page

This data is used exclusively in aggregated and anonymous form for statistical purposes and to verify the correct functioning of the site.

3. Purposes and legal basis of processing

Personal data is processed for the following purposes:

• Response to requests: data entered in the forms is sent by email to the relevant Mhodì team to respond to the request. Legal basis: performance of pre-contractual measures or consent of the data subject (Art. 6(1)(b) and (a), EU Reg. 2016/679).
• Press registration: data collected via the press form is used to send press releases and promotional materials in line with the indicated preferences. Legal basis: consent (Art. 6(1)(a)).
• Application evaluation: data and CV submitted via the careers form are used to evaluate possible collaborations. Legal basis: performance of pre-contractual measures (Art. 6(1)(b)).
• Anonymous statistics: browsing data in aggregated form. Legal basis: legitimate interest of the Controller (Art. 6(1)(f)).
• Security: prevention of spam, viruses and fraudulent activity. Legal basis: legitimate interest of the Controller (Art. 6(1)(f)).

4. Processing methods and data transmission

Data entered in the forms is sent directly via SMTP email to the relevant Mhodì team, through the mail server of our hosting provider (Hosting Green, server in Italy). We do not use external email marketing services for managing contact forms. Data is not stored in external databases or third-party platforms.

Attached files (e.g. CVs in PDF or Word format) are sent as email attachments and are not archived on the site server.

5. Data retention

Personal data is retained for the time strictly necessary:

• Contact requests: for the time necessary to handle the request, then deleted
• Applications (careers): up to 12 months from receipt, unless otherwise agreed
• Press registrations: until cancelled by the data subject
• Demo scouting: for the time necessary for evaluation, then deleted
• Browsing data: 24 months in aggregated and anonymous form
• Security logs (IP): 30 days

6. Recipients of the data

Personal data is not sold, transferred or communicated to third parties for marketing purposes. It may be communicated to:

• Hosting providers (Hosting Green, server in Italy) for the technical operation of the site
• Frontend hosting providers (Vercel) for site delivery
• Competent authorities, where required by law

7. Transfer of data outside the EU

The site is hosted on Vercel (edge servers distributed globally) and on Hosting Green (servers in Italy). Form data is sent via email to Italian servers. We do not carry out systematic transfers of personal data to non-EU countries. Should this be necessary, the transfer will take place in compliance with the safeguards provided by EU Reg. 2016/679 (Chapter V).

In summary, the site uses:

• Technical cookies: necessary for the operation of the site (no consent required)
• Analytical cookies: in aggregated and anonymous form, for usage statistics

At present the site does not use profiling or marketing cookies.

9. Rights of the data subject

As a data subject, pursuant to Articles 15-22 of EU Reg. 2016/679, you have the right to:

• Access your personal data and obtain a copy
• Rectify inaccurate or incomplete data
• Erase your data (“right to be forgotten”)
• Restrict processing
• Object to processing
• Request data portability
• Withdraw consent at any time, without affecting the lawfulness of processing based on consent before withdrawal
